What BerryMap does

BerryMap hosts your career site, receives your applications, and distributes your postings to the job boards that accept a feed. What each plan opens is written on the plans page, and what it opens is what is billed.

BerryMap is not a job search engine and will not become one. There is no public board where our clients' postings would be gathered: each career site belongs to one business and shows only its own jobs.

Your account

You are answerable for what happens with your credentials. Changing your password closes your other sessions, and that is deliberate: it is the thing you do when you believe somebody else got in.

A business decides who on its team may see what. Those permissions are real: they are enforced by the server and by the database, not merely hidden on screen.

What you agree not to do

  • Post a job that does not exist, or collect applications with no intention of hiring.
  • Use a candidate's information for anything other than the hiring they applied for.
  • Upload what you have no right to hold, or what has no business in an application file.
  • Probe, circumvent or overload the product, or try to reach another business's data.

Your data is yours

What you put into BerryMap stays yours. We do not sell it, we do not lend it, and we do not use it to train anything.

You can export your applications and your analytics from the product, without asking us.

Your candidates' information

You are responsible for your candidates' personal information; we process it for you, according to your settings, and for nothing else. In practice:

  • we use it only to provide the service, and we do not sell, rent or lend it to anyone;
  • only the people on your team that you authorise can access it; on our side, nobody reads a candidate's file, a message or a resume, except at your written request to fix a problem;
  • our providers, named in our privacy policy, are bound by a contract as demanding as this one; we announce any new provider at least 30 days ahead;
  • we protect this information with the measures described in our policy (encryption, a boundary enforced by the database, encrypted backups);
  • if a confidentiality incident affects your information, we tell you without delay, with what we know, so you can record it in your register and, if there is a risk of serious injury, notify the Commission d'accès à l'information and the people affected;
  • we help you answer your candidates' requests (access, correction, erasure) within the 30-day deadline;
  • at the end of the service, we give your information back (the export) then destroy it, as described in “Pricing and billing”;
  • you can ask us, once a year, to describe in writing the measures we take.

Service availability

We back the database up nightly, encrypted before it leaves our servers, and we verify that those backups restore. That makes no service perfect, and we do not promise that it is.

We do not promise an availability percentage. We make three commitments instead. Planned work that may interrupt the service is announced to administrators by email at least 48 hours ahead, and done in the evening or on weekends (Quebec time) when possible. An outage is fixed first, and administrators then get an email saying what happened and what we are changing. An outage of more than 24 hours in a row entitles you, on request within 30 days, to a credit on the next invoice, pro rata to the days affected. During an outage, applications already received are not lost.

Pricing and billing

Prices are in Canadian dollars, per month, and what you pay is what your billing screen shows. One more person on your team is added pro rata for the month under way.

A paid plan is billed monthly, with no minimum term. You stop it whenever you like, in Billing: it stays active until the end of the paid period (a month, or a year if you pay yearly), then your business goes back to the free plan. The period under way is not refunded. A price change is announced to you by email at least 30 days ahead, and applies at your next renewal.

If a payment fails, you have 14 days to settle it. After that, your business goes back to the free plan and the jobs above its limit close, oldest first. Nothing is erased for non-payment: your candidates do not pay for an invoice.

You can also close your account. For 30 days, everything keeps working, you can download the full export (your candidates, their applications, your notes, interviews, offers, messages and the resumes received) and you can change your mind. After 30 days, or at the latest three days later, this information is erased for good, and the backups that hold a copy of it erase themselves within the following 31 days. We keep only what the law asks us to keep: the incident register, people's requests and the record of the erasure. Candidates who have a BerryMap account keep it, without their applications to you.

We may suspend or close an account that breaks these terms, after 15 days' written notice to fix it, except in an emergency (fraud, a security breach, a fake job). Your data then follows the same rules as a closure.

Your access

This section applies to business customers.

Your account opens your candidates' files. You hold the key. You are therefore responsible for:

  • the people you invite to your team, and what they do in BerryMap;
  • passwords: each person keeps their own to themselves, does not lend it and does not reuse it elsewhere;
  • devices: lock them when you step away, and sign out (“Sign out”) on a computer that other people use;
  • departures: remove from your team, as soon as they leave, anyone who leaves the business or no longer needs access.

You must also tell us right away, at soutien@berrymap.app, if you think someone else got into your account. Change the password too: this closes every open session.

What is done with the account of someone on your team, or from one of your devices, is presumed to be done by your business, until you have told us. We are not liable for a leak caused by a password lent or disclosed, a session left open, a device lost or left unlocked, or a person left on your team after they left, except to the extent our own fault contributed to it.

To help you, a session closes on its own after four hours without activity, and after 30 days at the latest. In your settings, the “Open sessions” card shows each signed-in device, and you can close each of the other devices; “Sign out” closes the one you are on. You can also close all your sessions at once, and an account stays signed in on only one computer and one mobile device at a time: a new sign-in closes the previous one on a device of the same kind.

Our providers

This section applies to business customers.

To host and run BerryMap, we use providers named in our privacy policy (see “Who else touches it”): Render (servers), Neon (database), Cloudflare (network, domain names and files, including R2), Resend (email), Stripe (payments), Google (the Gemini AI), Mapbox (maps and commutes) and Sentry (error reports). We choose them for their security, and each one is bound by a contract that requires it to protect the information.

An incident in the systems of one of these providers, which we could not reasonably prevent, is not a fault of BerryMap. In every case, what we might owe you for such an incident remains subject to the limit in “Liability and governing law”.

Wherever an incident affecting your candidates' information comes from, on our side, at a provider or through access to your account, we assess it, we tell you without delay with what we know, and we help you record it in your register and, if there is a risk of serious injury, notify the Commission d'accès à l'information and the people concerned, as set out in “Your candidates' information”. For information we are ourselves responsible for, we take these steps ourselves.

If you are looking for a job

This section applies to job seekers.

Your BerryMap account costs you nothing and it is yours. Keep your password to yourself and do not reuse it elsewhere. Lock your device, and sign out (“Sign out”) on a shared or public computer. If you think someone else got into your account, change your password (this closes all your sessions) and write to us at soutien@berrymap.app.

A session closes on its own after four hours without activity.

The following sentence does not apply to you if you are a consumer in Quebec, to the extent the Consumer Protection Act forbids it.

We are not liable for what another person does in your account with a password you gave out or a session you left open, except to the extent our own fault contributed to it.

If an incident affects your information and presents a risk of serious injury, we notify you, as the law requires. Nothing in these terms limits the rights the law gives you.

Liability and governing law

This section applies to business customers, except its last paragraph (governing law and court), which applies to all users.

We provide BerryMap with prudence and diligence, and we fix what does not work. We do not guarantee that the service suits a particular need that is not described on the plans page, or that it is always without errors.

You remain responsible for your hiring decisions, the content of your jobs, compliance with labour law and the Charter of human rights and freedoms, and your obligations to your candidates regarding personal information: getting their consent when needed, publishing your responsible person, answering their requests. BerryMap gives you the tools; it does not decide in your place.

The limit of our liability. If our liability is established, the damages we may owe your business for all of its claims arising from the same event, including a leak of information, on whatever basis, in or out of court, do not exceed the higher of these two amounts:

  • the price before taxes actually billed to your business for the subscription period under way on the date of the event (one month if you pay monthly, one year if you pay yearly);
  • three months of the plan in effect on the date of the event, that is three times the monthly price before taxes actually billed to your business for that plan (one twelfth of the yearly price if you pay yearly), seats included.

Facts that have the same cause form a single event, and its date is that of the first of those facts. By exception to the two amounts above, if, on the date of the event, your business is on the free plan or in a period without charge, the limit is CA$75. Each affected business that makes a claim has its own limit, once per event, however many claims it makes. This limit is a maximum: it creates no right to a payment without proven injury, and your business never receives more than its actual injury.

We are not liable for indirect losses, such as lost profit or a missed hire.

This limit and this exclusion do not apply to intentional or gross fault on our part, to bodily or moral injury, or to what the law forbids limiting.

Neither party is liable for a delay caused by superior force: a general Internet outage, a disaster, a decision of an authority.

We may change these terms. A significant change is announced to you by email at least 30 days ahead; if you refuse it, you can stop your plan before it applies, at no cost.

These terms are governed by the laws of Quebec and the federal laws of Canada that apply there. Any dispute goes to the courts of the judicial district of [to fill: judicial district], unless the law gives a person the right to sue before the court of their domicile. These terms are written in French; the English version is offered to help you, and the French prevails if they differ.
